Ask the Stores and Materials Team

Who is in our Stores and Materials Team?

Ian Campbell

Stores & Materials Manager

Hi! I’m Ian, Stores & Materials Manager at Colloide. I have been with the company almost 5 years, having joined initially to scale up the stores capability to manage a major contract for over 100 chemical dosing rigs. The product knowledge I gained from these builds have enabled me to focus on the importance of stock planning, strong supplier relationships and robust internal procedures. This is how we ensure that the Stores and Materials Team keep factory builds and site installs progressing as planned. I have also led on the layout and set up of our Limavady stores facility, an internal stock coding system, and I have been heavily involved with lean process improvements such as Kanban at build stations, the introduction of handheld scanners for product sign-out and closer co-operation with design, production, logistics, and finance departments.

Louise Owens

Process Officer

Hi! I’m Louise, I have been with Colloide for over 2 years. My current role is as a Process Officer for the Stores & Materials Team although I liaise closely with the accounts team to ensure that stocks figures and project budgets are adhered to correctly. In this role I have been able to focus on the finer detail needed to move away from manual stock movements and therefore save significant time whilst improving accuracy. I keep a close watch on goods booked in and out which has meant that our stock taking procedure is now much more efficient. I continue to work closely with other team members to improve the smooth flow and timely retrieval of products coming into stock or for specific projects. With the recent introduction of a build stage tracking system for factory production, I have also become much more involved with the set-up of Kanban at the various build stations and how that feeds back to the stores team.

Robbie Brown

Procurement Officer

Hi! I’m Robbie, Procurement Officer at Colloide. I have been working at Colloide for 18 months, continuing to learn more about the role each day. My role is fast-paced and important in supporting procurement, finance, stores, and project operations across the business. I am responsible for ensuring purchasing processes run efficiently and accurately, including processing purchase orders and procuring equipment and tools for ongoing projects and stock requirements. Accuracy and organisation is essential, as all orders must be checked thoroughly before approval. Another key part of my role is supplier communication. I liaise with suppliers over the phone, face-to-face and by email to secure the best possible pricing, while maintaining strong relationships and a reliable service. I also monitor reorder reports for core stock, handle Trader Support Declarations, manage company credit card payments, update procurement systems, track order statuses and support tender and contract processes. I work closely with finance by matching invoices with purchase orders and supporting procurement documentation, whilst also assisting the stores team with reports and stock level reviews.

Peter Hamill

Stores & Materials Co-Ordinator

Hi! I’m Peter, I have been with Colloide almost 18 months. My role as a Stores & Materials Co-Ordinator is an engaging and essential position in which I look after goods in and out at our Limavady facility. Recently, we have introduced a lot of changes to ensure that we match factory demand with stock availability and are continually improving our internal systems and understanding of where and when a product is needed during the build process. I am ably assisted by Keith with stores duties and work closely with the rest of the Stores and Materials team to monitor stock levels and set re-order trigger points. Stock cycle counts and full stock takes have started to be more streamlined and the introduction of scanners has given us more confidence that stores figures align with our accounting system and that our stock to project issues enable other teams to get an instantaneous view of project spending.

Keith Stewart

Stores Assistant

Hi, I’m Keith, I started working with Colloide as a Stores Assistant almost a year ago. I was encouraged to watch, learn, and not be afraid to ask a question. I believe this has helped me to settle well within the Stores and Materials team. I am now more confident when dealing with picklists, engineers or fitter’s requirements and with checking products in and out of stores. We aim to be thorough, request detail and have time to pre-pick for the build teams to reduce the risk of these teams needing to make individual parts requests to stores, ensuring a steady flow throughout the build process of projects.

What are the teams key responsibilities?

The Stocks and Materials Team play a pivotal role in the overall running of Colloide, ensuring that we have the right part, at the right time, at the right place, at the right cost. Achieving this on a consistent basis is an ongoing challenge but thankfully our team is capable. We have individual specialities, process improvements continually and have good co-operation with other departments. This has paid dividends which means less firefighting, workarounds and stockouts.

Goods in/out: Our stores team members receive, verify, receipt, and allocate goods in daily. Quality checks are an essential part of this process as is sorting stock items and project build requirements and notifying engineers and production teams of “Just in Time” build requirement arrival. They maintain the kanban system, issuing products to builds stations and preparing kits going out for site team installs.

Central Hub: Our stores area is a central hub for general workshop requirements such as tools and factory consumables and as such ensures that the production and maintenance teams can progress work promptly. Likewise, our shopfloor team members see and hear what causes delays and are vital in driving continuous improvement and closer co-operation between departments.

Stock Purchasing: We have a core product range that supports our repeatable builds, this is looked after by the Stores and Materials Team. We have established links to reputable suppliers and manufacturers and work alongside our engineering team to ensure that every Colloide build has the best quality components. We continue to monitor category spends and evaluate the competitiveness of existing and potential new supply partners.

Project Purchase: We support the Project Management Team with processing, check in and distribution of nonstock, build specific items. We also react to site team requests to expediate any urgent requests needed for ongoing installs. As a team we are acutely aware that, despite the best planning, installs can require last minute items to get them completed and this is where we resolve issues as quickly as possible for our site teams, project managers, and our customers.

Continuous Improvement: The Stores and Materials Team is focused on refining our own processes and engaging with other departments. Our aim is to ensure that we learn from any issue that arises and where possible identify and address the root cause, then follow through with practical steps to prevent reoccurrence. This aligns with the culture at Colloide of striving for continuous improvements and works hand-in-hand with our culture of lean manufacturing.

What is the team’s mission or vision?

The Stores and Material’s Team vision to is consolidate and refine the improvements we have made to date and to make greater use of the data we have internally in stores. Increased visibility of work planned, in progress, alongside earlier involvement in product development to advocate for stock product usage and assist with supplier choice are now becoming standard practice. We see this as an important step which will enable the Stores and Materials Team to further improve our departments contribution to the Colloide success story.
